How to Build a Shopify FAQ That Reduces Repetitive Questions
Build a Shopify FAQ that cuts repeat tickets: mine real questions, keep policies and PDPs as source of truth, write clear Q&A, and link chat to the same answers.
You will build a Shopify FAQ that answers the questions your team already types every week. A good FAQ reduces repetitive tickets. It does not replace clear product pages or full policy pages, and it does not approve refunds.
Source of truth rule: Product specs live on the product page. Shipping and returns rules live on policy pages. The FAQ summarizes and links those rules in the words shoppers actually use. If the FAQ disagrees with a PDP or policy page, fix the source page first, then update the FAQ.

When this applies
Use this guide if:
- The same shipping, sizing, or “how does this work?” emails arrive every week
- Agents paste macros that are not published anywhere shoppers can find
- You want a public FAQ page and cleaner chat knowledge later
Pause a big FAQ project if:
- Your shipping or returns rules are still undecided
- Top product pages are empty (fix PDPs first)
- Nobody will own monthly FAQ updates
What you need first
- The last 30-50 customer questions (email, chat, Instagram DMs, phone notes).
- Links to your shipping, returns, and sizing (or care) pages.
- Shopify Admin access to create or edit a page (and optional theme FAQ blocks).
- One owner for the FAQ after launch.
- Optional: Appifire Knowledge Hub to reuse the same
Q:/A:lines in chat (Set Up Website Knowledge and FAQs in Appifire).
Step 1: Mine real questions (do not invent a cute FAQ)
Export or copy your last month of contacts. Tag each line:
| Tag | Meaning | FAQ? |
|---|---|---|
| Repeat fact | Same answer every time from a published rule | Yes |
| SKU fact | About one product’s size, materials, or what’s included | Prefer PDP; FAQ only if many SKUs share it |
| Status | Where is my order / tracking | Link tracking or order chat; not a fake ship date in FAQ |
| Judgment | Refund exception, complaint, goodwill | No; point to contact |
Sort by frequency. Your top 10-15 repeat facts become version 1 of the FAQ. Ignore one-off edge cases.
Expected result: A ranked list of questions shoppers already asked, not a brainstorm from marketing.
Step 2: Choose FAQ homes (page + optional PDP blocks)
Pick placements that match how shoppers ask:
- Storewide FAQ page (Online Store → Pages) for shipping, returns, payments, account, and brand-wide rules.
- Collection or theme FAQ blocks for category patterns (for example “rings sizing” on jewelry).
- Product-page FAQs only for that SKU’s unique asks, and only when the answer also appears in the description or a linked guide.
Do not hide the only copy of a return window inside an accordion that never appears on the returns policy page.
Expected result: Shoppers can find answers from the footer, search, and (when useful) the PDP, without five conflicting versions.
Step 3: Write each entry as a complete Q and A
Use the shopper’s words in the question. Put the rule in the answer. Link the source page.
Pattern:
Q: How long do I have to return something?
A: You can request a return within 30 days of delivery if the item is unused and in original condition. Final sale items cannot be returned. Full rules: [Returns policy URL]
Writing rules:
- One question per entry (split “shipping and returns” into two).
- Use numbers and named lists, not “soon” or “limited time.”
- End with a link to the full policy or size guide when the topic is bigger than two sentences.
- Say when to contact a human (“Damaged on arrival? Email support with photos.”).
- Do not invent a ship date for a specific order in the FAQ.
Expected result: Each entry stands alone on mobile and can be pasted into Knowledge Hub later.
Step 4: Group the FAQ so it is scannable
Suggested groups for a storewide page:
- Orders and tracking
- Shipping
- Returns and refunds
- Products and sizing (shared rules only)
- Payments and discounts
- Contact and hours
Keep each group to a handful of entries. If a group grows past ~8 items, split or move detail back to the policy page.
Expected result: A shopper finds their topic in one scroll without reading a novel.
Step 5: Wire discovery (or the FAQ stays invisible)
- Add the FAQ to the footer and any Help menu.
- Link it from shipping/returns pages (“Common questions”).
- Mention it in order confirmation or shipping notification templates when useful.
- Make sure the page is indexable (no accidental
noindex) if you want search traffic. - Optionally train chat on the same Q&A after the public page is true.
Expected result: The FAQ is a destination, not a file only your team knows about.
Step 6: Maintain with a monthly pass
- Once a month, pull new repeat questions.
- Add entries only when the answer is stable.
- When a policy number changes, update policy page first, then FAQ, then chat knowledge, then agent macros.
- Delete entries that no longer match how you sell.
- Review any FAQ that agents say is “wrong” the same day.
Expected result: The FAQ stays shorter and truer than a dump of every historical ticket.
Common failures and fixes
| Failure | Fix |
|---|---|
| FAQ invents rules not on the policy page | Edit the policy page; FAQ only mirrors it |
| 80-question kitchen sink | Keep top 10-15; link out for depth |
| Product specs only in FAQ, empty PDP | Move specs to the product description (PDP checklist) |
| “Where is my order?” with a generic “it shipped” | Link tracking / order status path instead (WISMO) |
| Cute marketing questions nobody asked | Replace with mined inbox language |
| FAQ-only chat with no catalog sync | Use FAQ for storewide facts; use store-aware chat for SKUs (FAQ-only vs Appifire) |
| No owner | Assign one person; otherwise the page rots |
Verification checklist
- Top 10-15 entries come from real contacts, not inventiveness
- Every policy answer matches the live policy page numbers
- SKU-specific facts live on PDPs (FAQ only summarizes shared rules)
- Each answer uses clear numbers or named lists
- FAQ is linked from footer / help and relevant policies
- Judgment cases point to contact, not a fake approval
- Monthly update owner is named
- Optional: same

When to escalate to a human
FAQ and chat should not handle:
- Refund amounts and goodwill exceptions
- Damages and carrier claims that need investigation
- Fraud, chargebacks, and legal threats
- Angry complaints that need empathy first

How Appifire AI Chat helps after the FAQ is solid
If your job is answer paraphrased FAQ questions on the storefront without maintaining a second conflicting brain, Appifire can use Knowledge Hub FAQ and website knowledge that match your public pages. Product details still come from product sync, not from stuffing every SKU into the FAQ.
What Appifire provides
| FAQ outcome | How Appifire AI Chat uses it |
|---|---|
Clear Q: / A: lines | FAQ content in Knowledge Hub for chat retrieval |
| Policy pages linked and true | Website knowledge + full https:// policy URLs |
| Shoppers ask in their own words | Natural-language answers from that knowledge (not only exact button clicks) |
| SKU questions beyond the FAQ | Synced published, active product text + product cards |
| Routine order status | Live order lookup when an order number is shared |
| Still need a person | Talk-to-human contact handoff (WhatsApp → support email → admin email) |
| Trial on real traffic | Free plan includes 500 AI replies/month; Pro $20/month + credits |
How this differs from common alternatives
| Approach | Typical gap | With a real FAQ + Appifire |
|---|---|---|
| FAQ page only | Shoppers never find it; agents still type | Page + chat from the same text |
| FAQ-only chat widget | Static; weak on catalog and orders | Storewide FAQ in Hub + catalog sync + order lookup |
| Agents only | Humans retype the top 15 forever | AI for repeat facts; humans for judgment |
| FAQ as only product database | Specs rot; PDPs stay empty | FAQ for storewide asks; PDPs for SKU truth |
Honest limits: Appifire does not invent FAQ answers you never wrote. It does not replace policy or product source pages. It does not approve refunds. Unedited auto-fetched knowledge can be wrong until you edit it. See Set Up Website Knowledge and FAQs in Appifire and How to Teach Appifire About Shipping, Returns, and Store Policies.
